We don't want you to feel it is too onerous to become a group co-ordinator, but we need to be aware of the best advice to ensure our groups run smoothly and safely.
Remember you are not on your own. Firstly, it is a good idea, where possible, to have a second person in your group to take over in your absence, but also to share tasks with others in the group. Who is going to communicate with members via Beacon, who is going to ensure the website shows the information you need, who is, perhaps, going to take the lead for any session?
Secondly, if you have any issues or concerns with any group always refer to the Groups Co-ordinator or any Committee member for support and assistance.
A group is made up of 2 or more members, so if you have an idea for a new group contact the Groups Co-ordinator.
To ensure wise use of the membership fees, for paid venues there should be a minimum of 6 people in attendance most times and to have up to 10 sessions (usually not meeting in August, and either December or January).
If you wish to meet more often, your group can self-fund for the extra sessions - talk to the Groups Co-ordinator and Treasurer.
If you are not in a paid venue or are online, you can, of course, meet as often as your group wishes.
An accident?
Sadly, no matter how many precautions are taken, accidents do happen. Whatever the incident, and even if you have given a verbal report, please ensure you complete the attached form and send a copy to the Chair, Groups Co-ordinator and Secretary.
Risk assessments
Risk assessment are to mitigate and be aware of the risks of a group meeting. It is up to any member to decide if they can manage to attend a venue, member's home, trip or sporting activity.
If you have any vulnerable members in your group, you might use the attached form in conjunction with that member.
New/ change of venue and every 3 years for the same venue:
Please pass copies of these to the Secretary.
Outside and sporting activities including day trips:
If a group has their own specific version of the appropriate checklist for their group, then use that one (found of their group page).
